Trustees met briefly with Town Clerk Patty Haskins to review interior color choices.  It was decided that the library wiould be painted with the same color pallet as the rest of the interior.  Patty to inform builders of our choices.

After surveying the new space and discussing possible layout it was decided that Sharon would ask Doug Johnstone  what a 5ft x5ft L shaped checout desk might cost to construct.

We did not have a quorum at tonight’s meeting, but continued with an unofficial meeting.  In attendance were Marion Abrams, Eunice MacDonald Rice and Angelique Lee.  Sharon Mayer arrived in time for a recap.

- Paint color for the interior of the library was discussed, it was suggested that we recommend to the building committee that they pick warm tones that would compliment the burgundy rug we already own, and the existing curtains.  Since we did not have a quorum at the meeting we will confirm the suggestion with the board via e mail before submitting it.

- Angelique presented research on computer pricing.  A good mini tower with better quality processor, RAM, monitor and speakers that we hope would last 3 to 5 years will cost about $900.  Eunice will research possible discounts.  We discussed several funding ideas and hope to be able to afford 2 computers.  

- Layout was discussed.  It was decided we will use as much of the existing shelving as possible.  Sharon will research the possibility of a built in main desk.  Angelique will check on used furniture options as well.  We discussed shelving (bookstore vs. traditional library layout), children’s area, and shelving of non-fiction picture books.

- Eunice was asked to compile a complete accounting of Irene related donations and dumpster expenses.  We will publish the report on our web site and via e mail.  

- A letter to the trustees from the Women’s Alliance and Historical Society was read at the meeting.  Because we did not have a quorum we felt we would hold off on discussion until more board members were present.

- Summer & Fall events: we expect volunteers will be very busy getting the library re-opened.  We discussed a few of our most popular programs to work toward.  We are anticipating a grand opening (with possible CLiF support), Bike Rodeo, Pittsfield photo contest and calendar, ginger bread house decorating, and a possible children’s poetry program.

- Sean lee is organizing a poker game to benefit the library.

- Town officer training was discussed, none of our trustees are able to attend.

- Marion will take on mail pick up, and deliver financial mail to Eunice.

- Marion and Angelique will test Collectorz software for automation.

Present: Marion Abrams,  Angelique Lee, Sharon Mayer, Traci Templeton, karen Waterworth

Marion reports that request for minor changes to placement of electrical outlets in new library space accepted by select board and communicated to archetect.
Angelique volunteered to research purchase of new computer and software. She recommends we purchase a service plan along with new computer and software.
All agree that old sheving will be used; low wooden shelving will be made movable with addition of casters if possible; any new shelving will be decided upon when layout of library determined closer to completion date.  Book cart suggested.
Angelique and Marion optomistic about possibility of utilizing Collectorz software to automate library inventory/catalogue and plan to trail the program free for 30 days.
Regarding election of library officers for 2012, Traci made a motion that officers remain the same, Karen Seconded the motion, all present agreed.  Marion will remain chairperson, Karen- secretary, Eunice-treasurer.
The difficult task of choosing paint colors for the wall, ceiling and trim in the new library space  was tackled.  After much discussion, two tones of blue and one white were chosen.  Distribution of said colors to be determined after study of space details.  Marion volunteered to take photos of library space in the coming days which she will email to us alll.  Decision to be made as soon as possible and communicated to builders.
Marion reports having talked with Chuck Colton who asked if RCML would be interested in cohosting another band concert this coming summer.  All present willing to consider it when more details known.
All present agreed that RCML trustee/volunteer communication most conveniently served by e-mail rather than blog.
All encouraged to think about summer programming and to recruit new volunteers.
Next meeting to be held first Thursday of April at 7:00 p.m.

Sharon discussed recent tour of new library space with Angelique.  Plans reviewed. Sharon and Angelique suggestedsome additional electrical outlets.  Sharon plans to meet with architect on Thursday, March 1st prior to scheduled building committee meeting.

Possible new shelving for library discussed.  Idea tabled due to anticipated expense.  Suggestion made to modify old wooden shelving with casters for movable shelving.

Marion reported that she and Angelique may have found a reasonable solutin for cataloging books, a software program form Collectorz.

Next meeting planned for March 15th.

Treasurer's Report:  Eunice announced plans to post financial reports on google.docs; acquire a debit card for book buying and supplies expenditures; and create an expense report document for clarity when reimbursing expenditures.

Dumpsters discussed.  4 ordered for tropical storm debris.  5 delivered by mistake.  So far 3 bills received from Casella's.  Marion has correspondence from Angelique Lee and will share same with treasurer.  Dumpsters provided with funds collected by library for Hurricine Relief.

Winter Programming Discussion:  Angelique had expressed willingness to organize Gingerbread House Building session.  Time and date to be announced.   The second annual Night Before the Night Before Christmas to be held on the 23rd of December, of course.  Marion will ask Howard Gunter if we can use the foyer of the church; Nancy Blessing for a projector; the General Store for a pizza donation.  Euinice to provide short films.

Next meeting anticipated in January.  Agenda to include a library layout planning session.  Marion to get dimensions of new space.  Traci will get graph paper.

Green Mountain Library Consortium renewal agreement to be reviewed and completed by Karen.
Standards application to be completed by Karen.
Bazaar Book Sale plans discussed.  Sharon and Karen plan to be present throughout day and will handle set up and breakdown.  Leftover books to be donated to interested correctional facilities in Vermont.
Painted Piggy Banks to be collected by Angelique who will also handle signage, and will be on display and raffled at Bazaar. 
Library's contribution to disaster relief efforsts discussed.  Having rasied approximately $1,200 through Pig Kisising Campaign and post Irene collections, and more expected from the Bazaar,it has been decided that funds will be directed towards aquisition of two dumpsters for debris removal.  Angelique handling arrangements.
Halloween plans discussed.  Book give away slated with some books already available from our collection and others offered by a generous donor.  Marion to arrange procurement.  Sharon previously volunteered to be present throughout the evening of the 31st for the event, but will need assistance. Light refreshments to be offered.  It is hoped the basement of the Town Hall will be available to us.  Marion to check with Patty Haskins.  Library Trustees also plan to solicit candy from outlying homeowners  for interested homeowners on the green who entertain the bulk of Trick or Treaters.  Traci to see if Pitt Stop available for candy drop from 10/16-22.  Marion and Eunice to handle information/publicity.

Topics of Discussion:  Halloween plans, fundraising, book sale.

Plan made to once again stage book give away on Halloween.  Some books have been previously held for that purpose and Marion to contact source in Middlebury for more.  Library hopes to set up a tent  from which to distribute books ans serve as way station with snacks and beverages.  Then suggestion made to host costume parade before the actual start of trick or treating on the green. Possibility of having a pumpking carving on the Saturday preceding Halloween discussed with a ceremonial lighting of the jack o' laterns at the end of the parade before kids disperse for trick or treating.  Plan made to gather candies and treats from outlying families and flood relief food donations  (a Halloween Candy Drop) to distribute to homes along the green which enjoy the bulk of  trick or treaters in Pittsfield. 

Fundraising dinner cancelled at this time.  Fundraising for RCML on hold.  It was decided that any money raised from Book Sale at Bazaar (slated for 9/24) would be given to another library in need.  Marion to check with CLIFF & VTDOL to see whcih libraries suffered from the flood waters of Hurricaine Irene.  Eunice suggested  an outright donation to the Vermont Department of Libraries.   Proceeds from Pig Bank Raffle whcih will now happen at the Bazaar will be donated to a hurricaine relief fund.  Eunice and Marion indicated that they would be available for book sale at Bazaar on September 24th. Kare able to help wiith set up on evening of 23rd. Tent needed.

Essentially a work party to pack up the library with a meeting in the middle

After some idiscussion it was decided to forge on with the previously planned fundraiser in spite of the formidable task of packing up the library.
Fundraiser slated for Sunday August 28th, 3-6pm at the Clear River Tavern.  Sharon confirmed menus of pulle dpork, vegie burgers, hot dogs, slaw, corn on the cob, melon and volunteer prepared desserts.
Price: $18 for adults, $8 for children.
Traci has arranged for entertainment-Aaron Audet.
Angelique will designand arrange printing of posters adn press releases. Marion to publicize via email.  all encouraged to spread word of mouth.
Sharon to arrange for special guest, Pancetta the Pig who will particpate in Pg Kissing event (how could we do it without her?).  Alvina Harvey, Doug Mianullli  and AJ Ruben have been invited to participate.  Marion to extend same invitation to Carl Ortel and perhaps some other illustrious citizen.
Painted pig banks to be raffled off by popular vote.  Raffle tickets to be sold at 4/$10; 10/$20.
A 50/50 a possiblity.
Reservations envouraged via phome and email.

Building renovation and plans discussed.  Angelique raised concerns regarding number, placement and adequacy of electrical outlets as well as space devoted to closet on southwest corner.  Marion volunteered to address issue with architect..  Further discussion of space led to suggestion to check out Warren Library for use of movable shelving system.

Summer fundraising event discussed.  Barbeque at the Clear River Tavern slated for Sunday August 28th, 3-6 p.m.  Tentative price, $18 for adults and & $8 for children. Menu and entertainment possibliities discussed.  Sharon will follow up on food choices with Jason.  Desserts to be provided by volunteers. Traci investigating entertainment.  Suggestions welcome.  Angelique will order a dozen ceramic pigs which will be given to local artists to decorate and then raffled off at  fundraiser.

Trustees and volunteers encouraged to promote more book hoarding before books are packed for long term storage.  All present decided to open library on Friday 7/22/11, 4-8 p.m. for a Last Chance evening of book hoarding and Ice Cream Social.

It was noted that  that Henry Hotchkiss, Kim Robertson, Nancy Blessing, Margaret Conboy, Sharon Mayer and Susie Martin may have some space availableto store library books and gear. ]]>
