Meeting Minutes
May 5, 2011

Meeting preceded by a visit to Pittsfield General Store by three trustees to view possible space for limited number of books to be shelved for continued circulation (honor system) during anticpated building renovation.  Staff member Lee Ann suggested space at back of store available for small collection.

All once again encouraged to sign up for shifts.

Fund Raising Dinner plans discussed. Clear River Tavern likely venue.  Mid July target date.  Posibly the 17th or 24th, Sunday afternoon.  Pig roast, fireworks, entertainment discussed.  Sharon to contact Jason re: date after further input.  Amanda, Sharon, Angelique and Traci to investigate pig pricing.  Traci has been looking into entertainment.  A pig art component discussed.  Paper mache v. ceramic pigs discussed.  Angelique and Amanda will look into possibilities.

Storage of book collection during building renovation discussed.  Traci obtained quote from Martin Miller Co.  who would pck up and transport all books at a price of $1,100, and $175/ month for storage.  Seemed a bit steep to those present.  Tony from Todd Transportation to meet with Sharon at library on Tuesday the 10th and furnish quote for same.  Marion will ask if there is any tempory space at Sherburne Library for storage.  Traci  mentioned that Henry Hotchkiss may have some space available.  It is anticipated that storage needs to occur before August 1st.

Traci presented detailed plan for the Mighty Tweed Bike Rodeo slated for Saturday, May 28th.  Traci plans to attend Rutland Bike Rodeo on May 14th for practice.  Volunteers have been recruited though commitment needs to be confirmed.  All should check their emails. Bike Rodeo Stations to include maintenance, helmet fit, bike safety, skills and decorating.  Traci will continue to coordinate event with PR and signage help from Angelique and Amanda.  Eunice to pick up refreshments.  Traci likely to order 35 helmets from Bell to be provided for free or nominal fee.  Used bike donation/exchange suggested.  Purchase of donated used bike could defray cost of helmet.  Final organizational meeting planned for Thursday the 26th at 6:00 p.m.

Angelique and Marion to attend the Vermont Library Conference on May 24th where Susie Martin will be honored as a VLA Trustee of the Year for her past 40 years of service.  Karen to write letter to select board informing them of Susie's award

Old Business:
-Lengthy discussion of fund-raising dinner.  Sharon looked into Pizza Oven on site catering. It was decided it was a costly option. Suggested Pig Roast at Clear. Moving forward with this. Sharon will talk to Jason... and look into roasting options.  Traci will talk to Bow Thayer for music. Suggested date Sunday July 17th.  Fundraising idea of ceramic piggy banks to be painted by locals for auction.
-Storage of Books- Traci will once again remember to look into pricing and storage for books
-Marion did a great job updating duties, procedures, and contacts. Discussion of continuity in how we communicate because of shifts and times varied between volunteers. Decided on Library Blog- Marion to set up.
-Sharon looking into library loan procedures, will update.

New Business:
-Game night had nine adults and 8 kids. All had fun.  Beautiful night out, kids played on playground. Slate game night next year a little earlier in mud season.
-A call for grants for town building project, board members will look into.
-Marion and Eunice to bank on Monday for treasury business
-Traci opened discussion for Bike Rodeo to be held the Memorial Day Weekend. She has been in touch with Jenny Nixon Carter- Rutland Area Physical Activity Coalition to put a hold on ‘bike box’.  A lot of leg work involved in project.  Eunice to talk to Jason Hayden. Marion to talk to Historical Society and the Betty’s.  Traci to talk to George with road commission, possible parking situations, volunteers in general.

  • Sign up for shifts if you haven't already.  Really, please don't wait to be asked.
  • Fund Raising Dinner plans-after discussing preliminary plans and dates, it was voted that the Annual Library Fundraiser be revisited and slated for late Spring/ early Summer.  Many ideas were tossed around including: pig roast, pizza/salad bar with strong consideration of still having it outside at The Clear. 
  • Duties and procedures- updates to the duties and procedures list encouraged.  The new library opening procedure list is working well.
  • Storage of book- Marion made an announcement at town meeting for the need of storage for our books and was approached by several community members.  Traci  limped and dropped the ball on research into possible storage pods...slated for next meeting.
  • Options for books being offered while town building is under construction was discussed.  Looking into shelving some books at the General Store with Honor System in place.\
  • Discussion about still offering programming while construction is on going, all agreed this should continue as the library has become a place not just for books but community. 
  • Game Night and Family Potluck slated for Sunday April 3rd from 4-6pm.  Eunice to offer Family Cooking/Dining night later in Spring.
  • As we usher in our newest trustee, EUNICE!, we say a heartfelt goodbye to the GLUE, the BENEVOLENT KEEPER OF RECORDS, the ENGINE of the library for...a long long time...Susie Martin. She will be missed! Dinner at The Clear, tuesday, March 8th-  in honor of her service and dedication to RCML and because we love her.

Marion reports Theater Arts program well received with 9-10 Pittsfield children attending all three sessions.

Disbursement of retiring Susie Martin's many responsiblilities discussed as follows:  Marion to continue as Chair,  Eunice  to assume role of Treasurer, Karen to continue as Secretary, Sharon to take care of purchasing, Traci to act as program coordinator.  Details to be elaborated upon later.  No clear keeper of the key elected, but coded lock suggested when renovation completed.

Susie and Karen provide brief update regarding furnace/frozen pipes/heating issue.  Town Clerk &/or Selectboard to be contacted re: status of plumbing repairs.

Susie reviewed ongoing process for requesting and returning interlibrary loans.

Marion offers to update volunteer procedural guide.

Computer failure noted.  It is decided to delay purchase of new computer until after building renovation.  Ann recommends purchase be made at Costco which provides most reasonable warranty and tech support.

Collection storage during renovation discussed.  Traci offers to look into climate controlled storage facilities.

Spring Fund Raising Dinner plans discussed.  May date preferred.  Sharon to investigate availablity of Clear River Tavern in May.  Fund raising activites discussed, but none agreed upon at this time.

Interested parties encouraged to attend.

Current and possible cataloguing/inventory systems discussed.  All present encouraged to check out a subscription service  at librarything.com as a possible solution.  Nothing likely to be implemented until after building renovation.

Calendar Sales produced profit of $573.63.  9 calanders remaining for sale.  Angelique commended.
Profit from Bazaar noted to have been $406.00; Spring Dinner Fundraiser $1,176.00.
Ginger Bread House Event was a success with at least 47 children participating.  Thanks to Sharon Academay students who were a great help.
Marion reported 26 children attended The Night Before the Night Before Christmas film showing.
After school Theatre Arts Program slated for January 11, 18 & 25 at 3:30-5:00.  Space limited to 15 participants, grade K-8.  Sign up encouraged.  Volunteers needed to assist Saskia Hagen-Groom.
Work day slated for Sunday 1/911, 2:oo p.m.  All willing volunteers invited. Sharon promises sweets.
Marion recently added to signature cards at Mascoma Savings Bank.
Preparation encouraged to assume various duties so ably executed for so long by Susie Martin.  Enormous void anticipated with her planned departure form the Board of Trustees in March.
Consideration of eventual update of card catalogue discussed, possibliy contracting of someone from Vermont Library substitute pool

Gingerbread House Decorating Program on December 8th, 24 participants registered, 17 volunteers  expected.
Calendars are in the library availbale for pick up, extras for sale.  Great job, Angelique.
Saskia interested in providing 2-3 after school programs involving theatre arts.  Tentative dates, January 4hr, 11th, 18th.
Many recently purchased and donated books need to be catalogued.
Work day slated for Sunday, January 9th,  10 a.m., Sharon to get the word out.
New Business
Susie reminds group that budget request to town should be considered.
Susie also reminds group that a new treasurer will be needed before her term as trustee expires.
Marion suggested Eunice MacDonald-Rice as replacemtn trustee and treasurer.
Marion to be added on signature card for checking account.
Sharon will explore bookkeeping software.
Possible adult programming in future-Geneology with Lorraine Fielder.
RCML has been invited to cohost  with the Historical Society a pot luck and concert featuring the Royalton Town Band in September.

Meeting at Clear River Tavern
Present: Marion Abrams, Sharon Mayer, Eunice MacDonal-Rice, Traci Templeton, Karen Waterworth
Eunice announces plan to post treasurer's report on google.docs.   Hopes to acquire debit card for use when buying books and is working on an expense report form.
Marion reports that 4 dumpsters were ordered from Casella's for Tropical Storm Irene debris removal.  5 were mistakenly provided. So far, 3 bills have been received from Casella's.  Marion has correspondence from Angelique and will shre with Treasurer.  Dumpster rental paid for with funds collected by library for Hurricane Irene Relief Fund.
Winter progamming discussed. 
Angelique lee had expressed willingness to organize a Gingerbread House Building Program.  Time & date to be determined by Angelique.
Marion suggested a second annual Night Before the Night Before Christmas event.  On the 23rd of December, of course.  Marion will ask Howard Gunter if we might be able to use church foyer for  event, Nancy Blessing if she can provide projector, General Store for pizza.
Suggestion made that next meeting be a pot luck with a focus planning the library layout and capital improvements.  Marion to get dimensions of new space.  Traci will get graph paper.

Halloween Update- Sharon said ‘great! Turnout for Halloween’, the library is a good meeting place for
Halloween. She mentioned it would be nice to have more than one volunteer running this program.


Calendar Update- Deadline November 15, 2010.


Kid’s Programming- Marion spoke with Saskia Groom about putting together a two part Theater
program for all ages. It was decided to pursue this after the holidays. Marion will be running The
Night before , The Night before xmas again this year. Discussion of a holiday program for the kids
in December was discussed; Marion will call around and also check with Angelique about doing the
Gingerbread houses again. (note: Confirmed Angelique will do gingerbread house program after school
on Wed, Dec.8th- sign up online/at library)

Halloween – It was discussed that the Library be a drop off point next year for community donations of

Building Project:  Thank you Suzie! for attending Selectboard meeting.
She reports the Lula (handicap elevator) is looking like a go ahead, placement of Lula discussed.  Suzie informed attendees of beams, window, insulation, etc. Looks like project won’t start until Spring.  Thank you to PFC for offer of housing small library while project is underway- revisit Spring.

Book Sale:  Sharon reports book sale was GREAT!  Left over books put on porch- moving well.
Discussion of putting more books out for Columbus Day weekend- signage needed.

Clif Conference:  Attended by Sharon and Angelique. Informative, good leads on where to send old books, good problem solving with like-minded people of small libraries.

Photo Contest:  GREAT job Angelique.  Angelique reported 175 people voted.  Still waiting on digital info from some winners.  Angelique will have sample by Halloween.

Blurbs of Photo Contest/Book sale for Web page needed.

Halloween: Sharon will be the library witch this year.  She will giving out books, casting spells for new volunteers, etc.  Sharon/Marion to pick up more books for give away.

Work day scheduled for Sunday, Nov. 7th  10am-1pm

Volunteer recruiment suggested at upcoming event on September 10th and at Bazaar Book Sale with training session planned for October 7th, 5:30-6:30.  Traci and Sharon offer to supply cupcakes.

Susie and Sharon volunteer to be present in the library during the Doug & Kelly Lewis event on Sept. 10th.  Traci will provide back up.

Regarding library in transition during building renovation:
Karen will call Alvina re: possible placement of small collection in post office while library close; Transfer Station re: recyling unwanted books; hrift shops re: book donations.
Marion will sak school art teachers if they want books or magazines for art projects.
Karen will contact clubs  at WUHS re: possible assist with packing and moving books in return for donation.
Traci will ask Tim Pins  if he has space he'd like to donate or lease for book storage during  building renovation.
Regarding Bazaar Book Sale on Sept 25th:
Susie will stake out territory on the green on Thursday evening.
Sharon and Karen will be available throughout the day on September 25th.
Sorting of books to take place over next few weeks as time becomes available.
Volunteers will be needed to move books from library to conopied site for book sale.
Volunteers will be needed to load unsold books into truck for disposal/disbursement.
Traci and Angelique will manage photo contest display for judging on day of Bazaar.
Facebook is an ongoing project to be refibned by Sharon & Angelique.
Angelique offers to research grants suggested by Henry Hotchkiss and the Best Small Library Program with input from Traci and Marion.
Halloween PUmpking Carving Program  is on, to be discussed at next meeting.
